Executive Assistant to the CEO

We are seeking a full-time executive assistant to the CEO who is looking for a role with a dynamic, fast-paced and innovative agency. Yes, you can expect to hustle, but we know when to call it a day. We enjoy a challenge as much as we like our office massages and Prosecco Fridays!

Main Responsibilities:

  • Assists CEO with daily administrative and office responsibilities
  • Creates and updates office and agency policies and procedures
  • Provides support for CEO by conducting research, reviewing and summarizing emails and reports
  • Drafts written correspondence
  • Developing and maintaining CEO’s filing systems
  • May attend meetings with the CEO to record meeting minutes and manage follow-up outcomes
  • Arranges complex and detailed travel plans and itineraries; compiles documents for travel-related meetings; makes flight and hotel reservations
  • Distributes mail
  • Orders office supplies
  • Collaborates with team on client projects
  • Assists with client reports, as assigned
  • Assists with intern scheduling and payroll documentation
  • Plans team activities, lunches and happy hours
  • Run errands for CEO
  • Assists CEO with recruiting activities online and through in-person events

Minimum Qualifications:

  • 5+ years of previous administrative or office management experience, preferably in a small business environment
  • Associates degree preferred
  • A self-starter, capable of taking initiative and proactively managing competing deadlines with minimal supervision
  • High level of accuracy, efficiency and attention to detail
  • Effective communication skills, both written and verbal, to include public speaking before groups or employees.
  • Professional phone etiquette
  • Demonstrated resourcefulness and ability to think ‘outside the box’ and implement creative solutions
  • Ability to exercise absolute discretion and confidentiality
  • Basic HR experience a plus
  • Computer literate and proficient in MS Outlook, Word, Excel and PowerPoint
  • Ability to multi-task and function in a fast-paced environment
  • Excellent organizational skills
  • Flexibility and willingness to work early or late, sometimes on evenings and weekends
